All bookings are treated on a ‘first come, first served’ basis and subject to the MotoGP VIP Village Standard Terms and Conditions.
The same process is applied for both the MotoGP VIP Village Corporate Area and Lounge.
The MotoGP VIP Village Registration Form (RF) is the only official order form, and can be requested to our Corporate Hospitality Sales Department.
   
 THE BOOKING PROCESS
1. Check availability with our Corporate Hospitality Sales Department.
2. Fill in our Registration Form in clear writing and send it together with a proof of payment from your bank to the following fax number +34 93 473 81 54.
The only accepted method of payment is via a bank transfer (bank details are on the Registration Form).
Your passes are not officially reserved until we have received both documents.
Once we have received everything we will send your passes by courier.
Invoices will be sent accordingly.

Terms & conditions
DEADLINE FOR BOOKINGS
Corporate Area must be booked and confirmed by RF 60 days before the event, at the latest. Admission subject to availability.
Lounge bookings must be confirmed by RF & bank transfer receipt 45 days before the event, at the latest. Admission subject to availability.
     

CANCELLATION FEES
MotoGP VIP Village Corporate Area
More than 60 days prior to the event: no charge
From 60 to 45 days prior to the event: 50% of the total amount
Less than 45 days prior to the event: 100% of the total amount
MotoGP VIP Village Lounge
More than 45 days prior to the event: no charge
From 45 to 30 days prior to the event: 50% of the total amount
Less than 30 days prior to the event: 100% of the total amount
PAYMENT TERMS
All payments must be made in euros.
FULL PAYMENT IS DUE PRIOR TO THE EVENT

Policies

MotoGP VIP Village Passes are strictly personal and non-transferable.
They must be worn at all times and in a visible manner. If the holder of a VIP Pass is found in a non-designated area, the pass will be confiscated immediately.
Different passes are supplied for each day;
* SILVER for Saturday
* GOLD for Sunday
Time-table and access maps are provided along with the passes.
Smart casual attire is recommended. No jogging suits or beach wear will be allowed.
No pets allowed.
LOST OR UNUSED PASSES WILL NOT BE REFUNDED.
CHILDREN
Children of all ages require a pass.
Children up to 6 years of age will benefit from a reduction of 25% on full price.
STAFF
Co-ordinators of Corporate Areas and company representatives will hold a Staff pass.
Staff pass will include the Pit Lane walk, Paddock Tour, Service Road Tour, Lunch and drinks.
Corporate Area:
2 Staff passes are given for every 60 guests.
Extra Staff passes can be purchased. Please contact MotoGP VIP Village management for fees and conditions.
MotoGP VIP Village Management reserves the right to issue additional Staff passes and if so, to charge an additional fee and/or impose special conditions as it deems necessary.
SERVICE
All personnel assisting with the assemble and disassembly of Corporate Areas, hostesses and interpreters will hold a special Service Bracelet.
The Service Bracelet will not include the Pit Lane walk, Paddock tour, Service Road Tour, Lunch or drinks.
MotoGP VIP Village Management reserves the right to issue additional Services Bracelets and if so, to charge an additional fee and /or impose special conditions as it deems necessary.
VIDEO/CAMERAS
Filming-recording is not permitted in the MotoGP VIP Village Area, Pit Lane, Paddock and Service Road Tour.
CONDUCT POLICY
In using the Hospitality Areas, the client shall follow IES’s Instructions at all times.
Signage

Lounge: signage must be the company’s business or trade name only. In the case of individuals a first and surname only must be supplied. Corporate tables in the lounge can have logos and company names displayed.
Corporate Area: clients may have the logos printed on their passes and on their external signage.
